Executive Personal Assistant on Koh Samui, Thailand

L3 Travel is an independent international hotel and hospitality consultancy with offices in the UK and Thailand and we are currently recruiting for an extremely high level Executive PA.

The salary for this position is between THB 15,000 – THB 20,000 per month plus good benefits, the top end of the salary scale will be paid for a very strong candidate that we feel has the right level of experience.

The candidate will ideally be available immediately but this is not essential

Overall Job Purpose

This role is to provide a professional, executive PA service to the COO and Sales & Marketing Director. This is an important role supporting them in running a dynamic and changing section of the business.

This is a very involved and fast paced role which will involve networking and building relationships quickly with contacts in many other parts of the business in both the Thailand and abroad. The candidate must be used to supporting more than one senior level director and be happy to provide support to other directors or managers when required.

The role will involve SE Asia travel on occasion but only maybe 3 times a year

Key Responsibilities:

•Provide pro-active support by ensuring the smooth running of the Directors office and managing their working environment. Excellent English communication skills will be required

•To prepare confidential and sensitive correspondence, reports, statistical data and other documentation using word processing, desktop publishing, spreadsheet and database systems

•Maintain up-to-date filing systems (physical and email) and ensure provision of accurate and up-to-date information.

•Prepare communication materials, charts and visual.

•Assist in the preparation of meetings and conference materials.

•Diary Management, booking flights and hotels.

•Dealing with correspondence and queries in Directors absence.

•Liaising with members of the Executive team.

•Organise meetings, conferences, workshops and other business related events.

•Ensure information on the intranet / website is up-to-date and relevant.

•Pro-actively prepare information for distribution across different communications channels - internal publications, the intranet, meetings, conferences, presentations etc within required timescales.

Skills & Experience Required:

The candidate will have excellent interpersonal skills and first class communication skills; written and verbal in English is a must, coupled with excellent planning and organisational skills

The successful candidate will have previous experience in a similar Executive Assistant role, excellent ICT knowledge and education preferably up to and including a Bachelor degree

Microsoft Office, Word, Powerpoint & Excel must be of Intermediate level but Ideally advanced and ideally experience using desktop publishing systems and database systems would be useful.

The candidate must be a problem solver and very proactive in their approach, if given a problem they must be able to deal with it and provide a solution
