Job RolePersonal Assistant

We require an organised, dynamic and experienced professional in assisting our top executive management. Our business is focused on the international freight networking industry and our customers are freight forwarders. Knowledge of Freight Forwarding is a plus for this role.

Tasks are likely to include:

  • devising and maintaining office systems, including data management and filing;
  • arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
  • screening phone calls, enquiries and requests, and handling them when appropriate;
  • meeting and greeting visitors at all levels of seniority;
  • organising and maintaining diaries and making appointments;
  • dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
  • taking dictation and minutes;
  • carrying out background research and presenting findings;
  • producing documents, briefing papers, reports and presentations;
  • organising and attending meetings and ensuring the manager is well prepared for meetings;
  • Liaising with clients, suppliers and other staff.

Qualifications and Expectations:

  • Female or Male , age over 24, pleasant and mature personality
  • Good coordinator with strong organizing, interpersonal and communication skills.
  • Service-oriented with a sense of urgency and the ability to work independently.
  • Work fast and committed to deadlines with high accuracy and tidiness.
  • Good command of English both spoken and written
  • Multi-tasking, willing and able to handle numerous matters simultaneously
  • Strong PC skills, word, excel, access, ppt, outlook
  • Must be professional and able to work without supervision.
  • Work well under pressure

Salary and other benefits

  • Circa 20k negotiable based on qualifications and experience.
